Billing Coordinator

The Rochester office has an immediate opening for a Billing Coordinator.

Duties and Functions

The Billing Coordinator primarily assists in ensuring the timely and accurate completion of bills for assigned billing attorneys.

  • Prepare and distribute monthly pre-bills to assigned attorneys at the beginning of each month;
  • Process edits, transfers, adjustments and final monthly bills;
  • Process electronic billing;
  • Answer billing questions from attorneys and secretaries;
  • Monitor all WIP working with attorneys to minimize unbilled WIP;
  • Assist with accounts receivable issues as necessary to minimize credit balances;
  • Provide billing research for current and past bills;
  • Reconcile discrepancies and problems by conducting complex and detailed analysis of accounting/billing problems; Work cooperatively with collections department;
  • Other duties as assigned.

Qualifications

  • Strong interpersonal and teamwork skills.
  • Requires excellent organizational, skills, including record keeping, data collection and system information.
  • Ability to compile and analyze data, then present it in a user-friendly format.
  • Excellent oral and written communications skills with ability to present information in a clear, concise, customer-focused manner.
  • Must maintain superior customer service to both internal and external customers.
  • Analytical skills requiring an aptitude for detail and accuracy in order to conduct analysis of complex client billing and accounting/billing-related issues, working with multiple systems and reports on a daily basis.
  • Proactive with excellent troubleshooting, problem resolution and follow-through skills. Ability to organize and prioritize numerous tasks and ensure work is completed within strict deadlines.
  • Associate’s degree (Bachelors preferred) in Business, Finance along with a minimum of 1 year accounting, billing, or finance experience is required. The equivalent combination of education and experience will be considered.

San Francisco Office Positions

California Senior Recruiter

Location

This position focuses on providing support for lateral partner recruitment for our three California offices: Los Angeles, San Francisco, and Silicon Valley.

Duties and Functions

  • Works directly with firmwide Director of Lateral Recruiting to ensure firmwide consistency of lateral partner recruiting strategies and programs
  • Works directly with the leadership of the California offices and relevant practice group leaders to implement recruiting strategies, to fulfill lateral partner hiring goals, and to determine the most effective search strategies for each search
  • Seeks out and develops new creative, cost-effective search strategies
  • Manages and fosters existing search consultant relationships
  • Works with Director of Lateral Recruiting on updating current search agreements
  • Prescreens resumes prior to circulation
  • Updates and maintains recruiting database on a regular basis
  • Schedules interview appointments with NP partners and follows up for evaluation feedback
  • Manages all aspects of due diligence and risk management
  • Obtains the appropriate approvals for any new hire requests
  • Periodic overlap and regular communication with California Regional Recruiting Coordinator

Local Office IT Manager

Location
San Francisco, CA

The Local Office IT Manager is responsible for the technology and support needs within a specified office or geographic location. This hands-on position will be accountable for maintaining the “usability” of a standards-based technology infrastructure and application tool set. Specific responsibilities/expertise include:

  • Accountable for the functional support of all systems and applications related to Nixon Peabody’s local technology infrastructure, including desktops, laptops, BlackBerry devices, printers, and telephones
  • Provide technical support for conference room meetings, including video/Web conferencing, projectors, and computer connectivity; maintain video equipment for internal and external use
  • Assist with maintaining timekeeper productivity by providing proactive assistance and support
  • Manage day-to-day support and problem resolution via the firm’s Help Desk call ticketing system
  • Assist with identifying/understanding “user” requirements and provide recommendations on potential technology solutions
  • Provide the necessary leadership to the team of local support staff (as required), including prioritizing work, resolving business issues, and employee supervision in accordance with the firm’s policy and standard operating procedures

Results and Expectations

  • Must be self-motivated and able to work independently with minimal supervision; flexibility in work scheduled (after hours support) required
  • Strong organizational skills and a demonstrated ability to communicate on all levels
  • Demonstrate proficiency in Nixon Peabody’s desktop applications; knowledge and experience with Microsoft desktop tools and applications
  • Must have the ability to deal with a multitude of projects and/or problems, including complex issues that require collaborative efforts between users, support engineers, and vendors to ensure a timely response or resolution
  • Maintain technical proficiency and industry knowledge through participating in technical training programs, seminars, and industry events
  • Contribute to a “one firm” approach by participating in regularly scheduled team/project meetings
  • Responsible for delivering improved client satisfaction through support of the firm’s identified initiatives and strategies
